    In order to implement this policy, the Company shall comply with the Act on the Protection of Personal Information and other relevant regulations and establish internal rules regarding the handling of personal information (Personal Information Handling Regulations). The Company shall appoint a Personal Information Protection Officer and assign a department manager responsible for personal information management within each relevant division. The Company strives to ensure the proper management of personal information.
    Furthermore, the Company will ensure that all related parties — including its officers, employees, contract staff, temporary staff, and dispatch workers, as well as subcontractors — are fully informed of and comply with these policies. The Company will continuously maintain and improve its practices to ensure appropriate handling of personal information.

  • Ⅲ.Proper Management

    • The Company strives to ensure that personal information remains accurate and up to date within the scope necessary to achieve the intended purposes of use.
    • To prevent the loss, leakage, destruction, or alteration of personal information, the Company implements appropriate security control measures and takes necessary corrective actions as needed.
    • When outsourcing the handling of personal information to external parties, the Company exercises appropriate supervision to ensure that personal information is managed securely.
  • Ⅳ.Clarification of Purpose of Use

    • The Company acquires personal information through lawful and fair means. At the time of acquisition, the Company will clearly state the purpose of use and other necessary details, either directly or by posting such information on the Company’s website or other appropriate channels.
    • In cases where the Company obtains personal information indirectly, the Company will disclose the purpose of use and other necessary details via its website or other appropriate means.
  • Ⅴ.Compliance with the Stated Purpose of Use

    • The Company uses personal information only within the scope necessary to achieve the purposes of use.
    • In the course of business operations, the Company may jointly use personal information with third parties or entrust its handling to third parties. In such cases, the Company will exercise appropriate supervision to ensure that the personal information is handled properly and securely by those third parties.
  • Ⅵ.Provision to Third Parties

    • The Company does not provide or disclose personal information to third parties, except as required by law or as specified in each item under “Provision of Personal Information to Third Parties.
    • Within the scope permitted by applicable laws and regulations, the Company may, when necessary for the execution of its business, provide a customer’s personal data to third parties without obtaining prior consent from the customer. In such cases, if the individual requests the suspension of such provision, the Company will comply in accordance with applicable laws and regulations.
  • Ⅶ.Disclosure, Correction, and Suspension of Retained Personal Data

    The Company will respond promptly and within a reasonable scope to requests for the disclosure, correction, suspension of use, or other actions related to retained personal data, after confirming the identity of the requester.

Handling of Personal Information

Personal Information Held by the Company

The Company holds customers’ personal information, including but not limited to names, addresses, dates of birth, workplaces, annual incomes, phone numbers, email addresses, and other information that can identify the customer.

Methods of Collecting Personal Information

The collection of personal information shall be conducted through appropriate methods in accordance with the Act on the Protection of Personal Information and other relevant laws and regulations.
Specifically, personal information may be collected via questionnaires conducted before contracts, such as those at seminars, model rooms, tours, and websites, as well as through application forms, contracts, and other documents submitted by customers at the time of contract conclusion.

Purpose of Using Personal Information

  • To provide information on properties related to real estate sales and purchases (including telephone solicitation, direct mail, and visits)
  • To fulfill contracts related to real estate sales and purchases
  • To fulfill contracts for agency and brokerage services related to real estate sales and purchases
  • To provide after-sales services related to real estate transactions
  • To fulfill contracts related to housing defect liability insurance
  • To fulfill contracts related to real estate leasing and management
  • For solicitation, contract conclusion, and management in the business of insurance agency services
  • To provide information and guidance on goods and services related to daily life and living environment
  • For marketing activities such as customer satisfaction surveys, market research (including requests for questionnaires), customer trend analysis, product development, and various research and analysis
  • To provide information on products and services handled by the CLEARTHLIFE group companies (*) related to the purposes listed in items 1 through 9 above
  • To provide personal information to third parties within the scope necessary to achieve the purposes listed in items 1 through 10 above

(*) The CLEARTHLIFE group companies refer to the following affiliated companies (hereinafter collectively referred to as “the Company Group”):

Provision of information and services may be discontinued upon the individual’s request.

Provision of Personal Information to Third Parties

  • The Company may provide customers’ personal information to the Company Group, affiliated partners, and other third parties within the scope necessary to achieve the purposes of use described in the “Purpose of Using Personal Information,” with the customer’s consent or as required by law.
  • The information provided will include names, addresses, phone numbers, and other items necessary for each business purpose, limited to the minimum required information.

If the individual requests, the Company will suspend the provision of personal information to third parties.

Joint Use of Personal Information

The Company jointly uses customers’ personal information with its group companies.

  • Personal Information Jointly Used:
    Names, addresses, phone numbers, workplaces, email addresses, property information, and other information related to transactions with customers.
  • Scope of Parties Jointly Using the Information:
    The seven companies within the CLEARTHLIFE Group:

  • Purpose of Use by the Parties:
    The information will be used within the scope of the “Purpose of Using Personal Information” stated above.

Procedures for Disclosure of Retained Personal Data

  • Requests for disclosure of retained personal data by the individual or their authorized representative must be submitted by completing the prescribed disclosure request form, attaching the required documents, and mailing them to the Personal Information Contact Office below. A handling fee of 660 yen (including tax) will be charged for each disclosure request.
    (Note: Postal fees to the Company and bank transfer fees, etc., shall be borne by the requester or their representative.)
  • Please note that the following cases will not be accepted as proper disclosure requests. In such cases, the fee already paid will be refunded:
    • If the prescribed disclosure request form is incomplete or contains errors.
    • If the address listed on the disclosure request form, the address on the identification documents submitted for identity verification, and the address in the Company’s retained personal data do not match, making it impossible to confirm the identity of the requester.
    • If the authority of the representative is not confirmed when the request is made by an authorized representative.
    • If the handling fee is insufficient or not paid.
  • The following cases shall be considered reasons for non-disclosure. If a decision of non-disclosure is made, the Company will notify the requester in writing, including the reasons for such decision. Please note that the prescribed handling fee will be charged even in cases of non-disclosure, and no refund will be provided.
    • When the reason for disclosure, as defined under the Act on the Protection of Personal Information, does not apply
    • When the requested information does not fall under “retained personal data”
    • When disclosure may harm the life, body, property, or other rights or interests of the individual or a third party
    • When disclosure may significantly interfere with the proper conduct of the Company’s business operations
    • When disclosure would violate other laws or regulations

Procedures for Correction, Addition, or Deletion of Retained Personal Data

The Company shall, in principle, respond within a reasonable period to requests for correction, addition, or deletion (hereinafter referred to as “corrections, etc.”) of retained personal data made by the individual or their authorized representative. Please complete the prescribed correction request form, attach the required documents, and mail them to the Personal Information Contact Office below.

Procedures for Suspension of Use or Deletion of Retained Personal Data and Suspension of Provision to Third Parties

When the individual or their authorized representative requests suspension of use or deletion (hereinafter referred to as “suspension of use, etc.”) of retained personal data, or requests suspension of provision to third parties, the Company will promptly process such suspension or stop provision if the requirements for suspension of use, etc., or suspension of provision to third parties as stipulated in the Act on the Protection of Personal Information are met.

Please complete the prescribed correction request form, attach the required documents, and mail them to the Personal Information Contact Office below.

However, please note that if the Company is not obligated to suspend use, etc., or provision to third parties under the Act on the Protection of Personal Information or other applicable laws and regulations, the request may not be granted.
